DENTAL FRONT DESK GUIDE
Keep the front desk reachable after closing.
ACES Denti answers after-hours dental calls on your existing number, handles scheduling and practice questions, and uses the handoff routes you approve.
What does an after-hours AI receptionist do?
It answers the calls that arrive while the practice is closed. ACES Denti identifies itself as an AI receptionist, uses your approved practice information and handles booking, rescheduling and common questions. Your team can review the call summary and follow-up work in the Front Desk hub.
This coverage mode lets your staff keep answering during office hours. Patients continue to use the same practice number.
Decide the routing before you go live.
- Routine appointments: confirm the appointment types, provider rules and scheduling connection available for your practice.
- Practice questions: supply current hours, services and the insurance or pricing-policy information the receptionist may share.
- Urgent issues: configure your on-call route. ACES Denti does not give clinical advice; medical emergencies are directed to 911.
- Requests for a person: transfers use your practice’s own staff and routing. Discuss what should happen when that destination is unavailable; do not assume a separate staffed answering team.
What will the morning team see?
The Front Desk hub brings together call summaries, transcripts, messages and follow-up work. Staff can check appointments and work through requests that need a person. Decide who checks the worklist and who owns urgent follow-up as part of your operating process.
For example, a patient can call about moving a cleaning after the office closes. The receptionist handles the request using the configured schedule, and your staff can review the call and any resulting changes. This describes a workflow, not a customer result or a performance guarantee.
What is needed for setup?
Provide your phone setup, business and holiday hours, appointment rules, supported practice software and emergency/handoff contacts. Denti’s normal setup timeline is 2–4 business days after the discovery call; we confirm the connection requirements and scope for your practice.
Review integration requirements or compare overflow coverage during business hours. If you want to understand potential missed-booking value, use your own call logs in the estimator.
Review your practice’s call flow.
Bring your practice software name, hours and an estimate of your call volume. In a 20-minute walkthrough, we’ll review coverage, software requirements and package fit.
