DENTAL FRONT DESK GUIDE
AI receptionist or staffed answering service?
Choose by the calls you need handled, the scheduling workflow and the people available for exceptions. “Answers the phone” does not describe the whole service.
What is the practical difference?
An AI receptionist handles configured conversations using the practice’s approved information and connected workflows. A staffed answering service uses people, but the services those people can provide depend on the provider and agreement. Your own front-desk team brings direct knowledge of the practice and handles judgment-based or sensitive work.
The right comparison is the scope each option can actually deliver for your practice. Ask to see scheduling, changes, exception handling and how your staff receive the result.
Compare the actual work.

| Decision | ACES Denti | A staffed answering service |
|---|---|---|
| Who answers? | An AI receptionist that discloses it is AI. | People employed or contracted by the provider; confirm availability. |
| Can it schedule? | Scheduling in the configured PMS workflow or built-in scheduler; connection scope is confirmed. | Ask whether staff book directly, use a separate tool or only take a message. |
| Who takes handoffs? | Your practice’s own staff/on-call route. | Confirm what is handled by the service and what transfers to your practice. |
| What is the commercial basis? | Package capacity for calls, texts and locations; no per-seat fee. | Ask about time, call, staffing and out-of-hours charges in the actual quote. |
| What needs setup? | Approved knowledge, phone routing, schedule rules and connection testing. | Confirm training, access, scripts, routing and required ongoing updates. |
This compares operating models. It does not rate unnamed providers or claim that one model is always better.
Which work should stay with your team?
Clinical judgment, unusual requests, complaints and decisions outside approved practice policy need an appropriate person. With ACES Denti, callers can request staff, your team can take over from the dashboard, and the Front Desk hub supports review and follow-up. ACES Denti does not provide medical advice.
Agree what happens when a handoff destination is unavailable. Buying call coverage does not by itself create an available on-call employee or a separate ACES staffed answering team.
A useful evaluation before signing
- Choose representative requests: a new-patient visit, a reschedule, a common office question and a request for a person.
- Watch where the appointment or message actually lands and what staff can review.
- Confirm your software, access requirements, included scope and third-party/custom costs in writing.
- Define how call quality, unresolved requests and practice outcomes will be reviewed using your own records.
